These terms are part of the Terms of Service. They apply to the personal data of workers, suppliers, buyers, brokers and other people that your mill enters into MillSaathi ("Mill Data").
1. Roles
Your mill decides why and how Mill Data is collected, so under the DPDP Act it is the Data Fiduciary. Equaseed is the Data Processor: we store and process Mill Data on your mill's behalf to provide the service. For your own account details and for website visitors, we are the Data Fiduciary, as the Privacy Policy explains.
2. What we do
- We process Mill Data only to provide, secure and support the service for your mill, and as you instruct through the app or in writing, unless the law requires otherwise.
- We keep it confidential, limit access to people who need it to run the service, and apply the measures on our Security page.
- We use the sub-processors listed on that page, and make sure they are bound to protect data appropriately. We will update the list when it changes.
- We help you answer requests from the people whose data you hold (access, correction, erasure), for example by exporting or fixing a record when you ask.
- If we learn of a breach of Mill Data we tell your mill's owner without undue delay, and give the information you need to meet your own duty to notify.
- When you close your account (14-day waiting period, then automatic) you can first download your data with the export in Settings; after that we delete or anonymise it as described in the Privacy Policy, except where the law requires us to keep it.
3. What your mill is responsible for
- Having a lawful reason to collect each person's data, and giving them the notice the law requires. Workers, suppliers and buyers should know what you keep and why.
- Entering only what you need. Do not enter sensitive identifiers such as Aadhaar, PAN or bank account numbers into free-text notes or documents unless you have a real need and a lawful basis.
- Keeping data accurate, and correcting or removing it when a person asks and the law requires it.
- Managing who on your team can see it, with the right role, and removing access promptly.
- Telling us if a person's rights request needs our help.
4. Cross-border and audits
Our providers can process data outside India (see the Privacy Policy). On written request, once a year, we will give you reasonable information to show we meet these terms.
