How MillSaathi, operated by Equaseed, handles personal data. We keep it short and specific to what the software actually does.
The short version: your mill's records belong to your mill. We process them only to run MillSaathi for you. We do not sell personal data, and we do not use your mill's records for advertising.
MillSaathi is operated by Equaseed, Dhanbad, Jharkhand, India ("we", "us"). For the account details you give us, and for visitors to this website, we decide why and how personal data is used. For the records a mill enters about its own workers, suppliers and buyers, the mill decides and we act on its behalf; see our Data Processing Terms.
This policy follows the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Information Technology Act, 2000 with its rules.
Account data — your name, email address, role and a salted password hash, plus your mill's name, type and preferred unit. We use it to create your account, log you in, send password-reset and verification emails, and send service messages.
Mill records you enter — gate entries, weights, vehicle numbers, lab readings, lots, saudas, stock, production, payments, expenses, GST details, CMR contracts and similar. We store them so the software can show you your own mill. They are visible only to the people your mill has invited, according to the role you gave them.
Records about other people — a mill may enter names, phone numbers, emails, addresses and GSTINs of suppliers, buyers and brokers, and names, phone numbers, attendance, wages and advances of workers. The mill is responsible for having a lawful basis to enter these (see section 8).
Technical data — your IP address (read from the network request) is used for rate limiting, abuse prevention and the shared demo mill's limits. Our hosting provider keeps short-lived operational logs.
Usage counts — for each mill we can see when it signed up, how many people are on its team, and how many records (for example gate entries or payments) it created and when. We use this to see whether the service is working for you, to give support, and to decide what to improve. It does not include the contents of your records.
Support messages — if you write to us on email or WhatsApp, or send feedback inside the app, we keep that message and the contact detail you used.
Tally Sync — if you install the optional Windows helper, it sends the vouchers you choose to your Tally installation using a token tied to your mill, and we store a device label, the Tally company name, the helper version and when it last connected.
We do not ask for Aadhaar, PAN or bank account numbers in any field, and we ask you not to type them into free-text notes or upload documents containing them unless you need to.
We rely on your consent (given when you create an account and, for analytics, through the cookie banner) and on legitimate uses permitted by the DPDP Act, such as providing a service you asked for, complying with law, and keeping the service secure. You can withdraw consent at any time; see section 10. Withdrawing consent for the account means we can no longer provide the service.
The public marketing and calculator pages can use Google Analytics to count visits. It loads only if you click "Accept analytics" on the banner, and sets cookies (such as _ga). If you decline, or ignore the banner, nothing from Google Analytics loads. You can change your mind at any time with "Cookie settings" in the footer of any public page. These pages also load fonts from Google Fonts.
We use a small number of service providers, listed with their purpose on our Security page: Cloudflare (hosting, database, file storage, bot check), Resend (transactional email), Razorpay (card and UPI payments, only when paid plans are switched on), and Google (the optional AI assistant, and Analytics if you accept). We do not sell personal data. We share it with an authority only when the law requires it.
AI assistant. If you use the in-app assistant, your question and, only when needed to answer it, a short list of stock item names and quantities are sent to Google's Gemini service. Other mill records are not sent.
Our providers run global networks, so your data can be processed or stored outside India. We use providers with published security practices and contractual commitments, and we do not transfer data to any country the Government of India has restricted under the DPDP Act.
If you enter other people's personal data, you are the one deciding to collect it. Please tell them what you record and why (for example in the wage slip, the gate register or your supplier onboarding), enter only what you need, and correct or remove it when they ask. We will help you do that: see the Data Processing Terms.
We protect data with the measures listed on our Security page. No system is perfectly secure. If a breach affects your personal data we will tell you and the authorities as the law requires.
Under the DPDP Act you can ask us to: show you the personal data we hold and how it is used; correct or complete it; erase it; withdraw your consent; and nominate someone to exercise these rights if you die or cannot. You can also export all your mill's data yourself, as owner, from the app (Settings). To make a request, write to connect@equaseed.com from the email on your account. We acknowledge within 2 working days and complete the request within 30 days. We may ask you to confirm who you are first.
If you are not satisfied with our answer, contact our Grievance Officer (see Contact). If it is still unresolved you may complain to the Data Protection Board of India.
MillSaathi is a business tool for mills and is not meant for anyone under 18. Do not create an account for, or enter data about, a child unless the law allows it and you have a parent or guardian's consent.
If we change this policy in a way that matters, we will put the new version on this page with a new date and, for account holders, tell you in the app or by email before it takes effect.
